The Letting Process
Ongoing Management of the Property
Hot Property Management & Rentals Ltd offers a full management service for your investment properties. We have a thorough knowledge of the rental market and can advise you on the appropriate rent for your property. We are happy to come an appraise your existing property or any that you are looking to purchase. We can also advise you on any necessary work or improvements that would enhance your property and make it more appealing to any prospective tenants.
It is extremely important to have a thorough understanding of the legal requirements of both landlord and tenants and to be conversant with the Residential Tenancies Act. By attending on going training we are able to keep ourselves up to date with the current legislation.
Finding you the perfect tenant is our aim and this is at NO COST to you.
How we find you the right Tenant:
- Erecting a For Rent sign on the property.
- Advertising on our website.
- Advertising in the New Zealand Herald.
- Advertising in the local free magazine Ponsonby Flat White.
- Open homes to show prospective tenants through the property.
- Prospective tenants walking in off the street due to our visible location.
- Advertising on property site of Trademe
The Letting Process:
- All interested parties are given a detailed Application Form to complete and return to us. Reference checks are done with present and previous landlords, this is extremely important and one that we insist on. References can also be from present employers.
- Once a tenant has been selected and approved by the landlord we prepare the legal tenancy agreement with the tenant.
- We collect Bond from the tenant, being the equivalent of 3 weeks rent, we pay this to the Department of Housing and Building, who hold it until the end of the tenancy.
- We collect the first weeks rent and arrange for the tenants to set up a regular fortnightly automatic payment into our Trust account.
- Prior to the tenants moving into the property we do a written initial inspection report, a copy of this is given to them to hold until the end of the tenancy.
- Take a water meter reading from the property.
- Hand over the keys to the new tenants.
Ongoing Management of the Property:
- Process the rents daily into our Trust account.
- Check any rent arrears and follow up immediately with a phone call, and then with a 10 Day Notice to remedy the breach.
- Inspect the property after the first 3 months and send a written report to the landlord. Thereafter regular inspections are done every 6 months.
- Arrange any required repairs and maintenance work on the property, using one of our trusted trades people.
- Pay all regular outgoings ie water rates, lawn mowing, Council rates, insurance, Body Corp fees on your behalf.
- Send a copy of the water rates account and letter to the tenants charging them for water rates, and ensure prompt payment of this by them.
- Pay any rent collected that month, less and outgoings and management fees, into the landlords bank account.
- When tenants give notice to terminate the tenancy agreement we will begin advertising the property to find a new tenant. A letter will be sent to the landlord informing them that the tenant is vacating.
- At the end of the tenancy we will do a final Bond Inspection checking against the Initial Inspection Report. Once all rent and water are paid up to date, all cleaning completed, any damage repaired, and rubbish removed and lawns and garden tidy, we will arrange for the refund of the tenants Bond.
- If a tenant leaves the property still owing rent we will attend the Tenancy Tribunal on the landlords behalf and then hand the debt recovery over to a debt collection agency.
- To terminate the Management Agreement, either party may give 30 days notice, in writing.
